Order Fulfillment Cost Calculator
Fulfillment Cost Breakdown
How to Use This Tool
Enter your business’s monthly order volume and average order value first, as these are core inputs for all calculations. Fill in storage, shipping, packing, and labor costs using your actual expense records for accuracy. Select your fulfillment method and preferred currency from the dropdown menus. Click Calculate Costs to generate a detailed breakdown, then use Reset to clear all fields and start over. Use the Copy Results button to save your breakdown to your clipboard for records or sharing.
Formula and Logic
Total monthly fulfillment cost is the sum of four core expense categories:
- Monthly Storage Cost = Storage cost per unit per month × Average units per order × Monthly orders
- Monthly Shipping Cost = Shipping cost per order × Monthly orders
- Monthly Packing Cost = Packing material cost per order × Monthly orders
- Monthly Labor Cost = (Labor cost per hour ÷ 60) × Labor minutes per order × Monthly orders
Derived metrics are calculated as follows:
- Cost per order = Total monthly fulfillment cost ÷ Monthly orders
- Cost as % of AOV = (Cost per order ÷ Average order value) × 100
- Estimated profit margin after fulfillment = ((Total monthly revenue - Total monthly fulfillment cost) ÷ Total monthly revenue) × 100
Practical Notes
For accurate results, use actual expense data from your accounting records rather than estimates. Third-party logistics (3PL) providers often charge per-order fees that combine shipping and packing, so adjust your inputs to match your contract terms. Dropshipping fulfillment typically has no storage or labor costs, but higher per-order shipping fees. Common e-commerce benchmarks suggest fulfillment costs should stay below 20% of average order value to maintain healthy profit margins. If your cost as % of AOV exceeds 30%, review shipping carrier rates, negotiate 3PL contracts, or adjust product pricing.
Why This Tool Is Useful
Small business owners and e-commerce sellers often overlook hidden fulfillment expenses, leading to inaccurate pricing and eroded profits. This tool breaks down costs into granular categories, making it easy to identify high-expense areas for optimization. It supports strategic decisions like switching fulfillment methods, adjusting product pricing, or negotiating better supplier rates. The visual progress bar provides an at-a-glance check on margin health, helping you avoid pricing that leaves no room for profit.
Frequently Asked Questions
What if I use multiple fulfillment methods for different products?
Calculate costs separately for each fulfillment method and product line, then combine the totals to get your overall monthly expense. This tool is designed for per-method calculations to keep inputs accurate.
How do I account for seasonal order volume spikes?
Enter your peak monthly order volume to stress-test your fulfillment costs, then run a second calculation with average monthly volume to compare. This helps you budget for temporary labor or storage upgrades during high-demand periods.
Should I include returns processing costs in these calculations?
Returns processing is a separate fulfillment expense. Add your average monthly returns processing cost to the total monthly fulfillment cost manually, or adjust your per-order packing/shipping costs upward by 5-10% if returns are frequent in your industry.
Additional Guidance
Review your fulfillment costs quarterly, as shipping rates, labor wages, and storage fees change regularly. If you operate in multiple regions, run separate calculations for each region to account for varying shipping and labor costs. Use the profit margin after fulfillment metric to set minimum product pricing: ensure your product price covers fulfillment costs, cost of goods sold, and your target profit margin. For 3PL users, compare your calculated per-order costs to your 3PL’s quoted rates to verify you are not overpaying for services.
